Job Title: Contract Coordinator

Job Description: HNTB seeks a detail orientated and proactive individual to serve as a Contract Coordinator on a recently renewed five-year contract supporting FDOT Central Office as their Transportation Systems Management and Operations (TSM&O) General Engineering Consultant. The Department’s TSM&O program houses an interdisciplinary team with specialties ranging from software development and product evaluation to transportation center operations and device maintenance. Responsibilities of this role will be centered around tracking key deliverables, following up with contributors, and interfacing with stakeholders. Additional duties include coordinating meeting materials and supporting the day-to-day deliverables of the contract. This role will be embedded within an FDOT facility which provides an exciting and rewarding environment.

Supports technical staff by performing a variety of project-related coordination, tracking, and administrative duties such as tracking client deliverables, maintaining schedules, organizing documents and documents requests, and technical editing and preparation of reports and minutes.

Essential Responsibilities:

  • Tracks evaluation scores. Develops and tracks progress reports.

  • Monitors, tracks and files project documentation. Copies and/or scans project-related documents in-house and coordinates sending out larger jobs.

  • Technical editing and formatting of project-related documents such as specifications, technical reports and memos.

  • Archives closed projects.

  • Assists in the management, upkeep and distribution of project schedules in MS Project.

  • Uploads/downloads deliverable documents to/from client systems. Deliverable tracking of submittals and reviews.

  • Coordinates and/or manages preparations for project meetings and publishes minutes.

  • Requests existing plans and other documents from clients.

  • Performs other duties as assigned.

Minimum Qualifications:

  • High School Diploma/GED or equivalent

  • 2 years of relevant experience

Primary Focus Will Include:

  • Scheduling, coordinating, and tracking deliverables

  • Interfacing directly with the client

  • Preparing reports and meeting materials
